Every business both creates, and receives invoices nearly every single day. No wonder it is so important to have a streamlined process to manage all of your invoices. Apptivo offers a unique new approach to handling invoices… “click a button”
In Apptivo you are able to create invoices directly from sales orders, or from scratch, to bill a client for time spent on their project. Each invoice contains all of the standard contact information, and does all cost calculations for you. With your inventory managed within Apptivo, you can even add line items to each invoice and let it do the rest of the work!
The best part is, there is no longer a need to deal with paper invoices when using Apptivo. Once an Invoice is created, you can simply click a button and instantly email the invoice for fulfillment, it’s that easy!
So, ready to see how it’s done?
First off, the usual rules apply. You will need to have Signed up for an Apptivo Account, “Invoices” App will automatically be added to the default apps to use.
Some tasks (optional) to be completed before sending an invoice and receive payments online are:
- Choose one of the online payment options to receive payments. You can setup one or more of these.
- Google Checkout – free and very easy to setup
- Paypal – free and easy to setup
- Authorize.net - Not free, but easy to setup
- Once you login, you will see the “Invoices” app as one of the default apps provided. Go to Invoices.

- You are now looking at the Invoices dashboard. If you have any Invoices created already, they will appear here. Go ahead and click on the “Create Quick Invoice” now.

- The first screen will allow you to either create an Invoice from services, or items, or both services and items to generate the invoice.

- Now just enter in the information related to the Invoice. You will need to provide a customer and Payment Term, and really should add a detailed description. You can select any sort of payment term you want.
You can also include any tasks or product/services that should be included in the Invoice. You can create straight hourly billed tasks, or pull items from your inventory. You can even apply flat, or promotional based discounts here as well. *important* you need to first add products/items to Apptivo for them to show up here. Read this to learn to add products/items

- Your Invoice is now created, you are almost done! You now have two options:
- Save for Later, where you can Send by Email or Print later.
- Or click the “Send by Email” button to have it instantly delivered to their inbox!
- Congratulations, you’ve now delivered your first Invoice! From here the final step is to record the payment of the customer once the Invoice is fulfilled. You will be able to easily do this by returning to the Invoice at any time and clicking the “Record Payment” link. You must check the invoice you want to “Record Payment” for.
